DocketBuddy — Privacy Policy (Attorney Platform)

This Privacy Policy explains how Buddy Financial LLC ("Buddy Financial," "we," "us," or "our"), doing business as DocketBuddy, handles information in connection with the DocketBuddy attorney platform at docketbuddy.org (the "Service"). It applies to the attorney platform only; Buddy Financial's consumer-facing Buddy Foundation services have their own separate privacy policies.
1. The two kinds of information we handle
Your account information. Information about you and your firm — name, email, password credentials, bar number and jurisdiction, billing details, and your settings and activity within the Service. Buddy Financial is the controller of this information and uses it to provide, secure, bill for, and support the Service.
Your client and matter data ("Your Data"). Information you and your authorized personnel enter into the Service about your clients and matters — including documents, case details, financial and filing information, and communications. As to this data, you are the controller and Buddy Financial acts as a processor on your behalf. We process Your Data only to provide the Service to you and at your direction. We do not sell Your Data, do not use it to provide services to other customers, and do not use it to train third-party AI models.
2. How we use account information
We use account information to authenticate you, deliver the Service, process payments, send service and security communications, provide support, detect and prevent abuse, comply with law, and improve the Service. We send transactional and account emails; any non-essential communications are subject to your preferences.
3. How Your Data is processed
Your Data is processed to operate the features you use — for example, generating drafts and analyses, tracking deadlines, storing documents, and surfacing status information. Where features use AI, the relevant inputs are sent to our AI provider solely to generate output for you, under terms that prohibit using your inputs to train their general models. Output is a draft for your review, as described in the Terms of Service.
4. Service providers (sub-processors)
We use a limited set of vetted providers to run the Service, each acting on our behalf under contract:
- —Hosting and database (e.g., Supabase / Postgres infrastructure) — stores account data and Your Data.
- —Payment processing (e.g., Stripe) — handles subscription billing; we do not store full card numbers.
- —Email delivery (e.g., Resend) — sends transactional and account email.
- —AI model provider (e.g., Anthropic) — generates AI-assisted drafts and analyses from the inputs you provide.
- —Error monitoring (e.g., Sentry) — diagnostics to keep the Service reliable.
We keep this list current as providers change.
5. Security
We design the Service so that each attorney's data is isolated and accessible only to that attorney's account: access to Your Data is enforced at the database level so that records are tied to the authenticated account that owns them, and cannot be read across accounts. We encrypt data in transit and at rest, require authentication for access, support multi-factor authentication, and limit internal access. No system is perfectly secure, but data isolation and confidentiality are core to how the Service is built.
6. Data retention
We retain account information for as long as your account is active and as needed for legal, accounting, and security purposes. We retain Your Data for the life of your account; on termination you may export Your Data for thirty (30) days, after which we delete or de-identify it in the ordinary course, except where retention is required by law. You may also request deletion of specific data, subject to your own professional record-keeping obligations.
7. Your rights and your clients' rights
You may access, correct, export, or request deletion of account information by contacting us or using in-product tools. Because you are the controller of Your Data, requests from your clients regarding their information should be directed to and handled by you; we will assist you in responding as your processor. Depending on your location, additional privacy rights may apply.
8. International and legal disclosures
The Service is operated in the United States and intended for U.S.-licensed attorneys. We may disclose information where required by law or valid legal process, or to protect the rights, safety, and security of users, the public, or Buddy Financial.
9. Changes to this Policy
We may update this Policy from time to time. Material changes will be communicated through the Service or by email, with the updated effective date shown above.
